 Office Manager (Warsaw)

Our client is pioneering the future of defense technology by making drones of any kind work together autonomously. They develop AI-powered collaborative autonomy for smart, efficient, and self-improving teaming of connected drones and autonomous systems.

We are looking for an experienced Office Manager to ensure the efficient operation of two offices in Warsaw and Kyiv. Expectations are set not only for operational excellence but also the ability to structure processes and be ready to roll up your sleeves when needed. If you enjoy solving administrative challenges, keeping things running smoothly, and maintaining a comfortable work environment, this role is for you.

About the Role

  • The position covers two offices - Warsaw (PL) and Kyiv (UA), with approximately 50 employees overall

  • Reports to: VP of Operations.

  • Primary focus on organizing office operations, purchases, logistics, and maintenance with technical and facility-related tasks.

  • Responsible for supervising the office manager in Kyiv.

Key Responsibilities

  • Ensure smooth daily operations in both offices (facilities, supplies, maintenance, safety).

  • Coordinate and support the Kyiv-based office manager.

  • Manage relationships with vendors, landlords, and service providers.

  • Organize workspaces, office equipment, repairs, and purchases.

  • Support internal initiatives and team events.

  • Maintain administrative documentation and reporting related to office operations.

Requirements

  • Proven experience in office or facilities management, or administrative operations.

  • Strong organizational and problem-solving skills, with a structured approach to work.

  • Responsible, detail-oriented, and proactive.

  • Polish — fluent, Ukrainian — native/fluent, English — B2 level

Terms

  • Contract type: B2B

  • Work format: On-site, 4–5 days per week (initially full office presence).

  • Location: Warsaw.

Selection Process

  1. Screening interview with a recruiter.

  2. Interview with the VP of Operations.

  3. Practical test assignment - solving a real-life facilities case to evaluate systematic thinking and problem-solving skills.
